How to convert Google Mail to PST?
For those that are looking to download or convert emails from a Google Mail account to an Outlook (Exchange) account, you can use the following method to accomplish this.
1. You will need to have MS Outlook installed on a computer.
2. Setup your Outlook to connect to Google Mail using the following settings
- In Outlook, Click on “Tools” and then select the “E-mail Accounts…” option
- Choose the “Add a new e-mail account” option and press the “Next >” button
- On the Server Type window, pick POP3 or IMAP. Both options will work, but IMAP works a little better. So pick IMAP for now.
- Enter the user’s name. It can be any things for now because we are going to download emails only.
- For Server information, enter the following
POP3 Servers settings for Outlook:
– Incoming mail server: pop.gmail.com
– Outgoing mail server: smtp.gmail.com
IMAP Servers settings for Outlook:
– Incoming mail server: imap.gmail.com
– Outgoing mail server: smtp.gmail.com - On the Logon Information section, type in the gmail account, e.g. jsmith@gmail.com, and password
- Check on the “Remember Password” checkbox
- Click on the “More Settings…” button
- Go to the “Advanced” tab and change ports settings
POP Settings
– Change the incoming server (POP3) port to: 995 and select the “This server requires an encrypted connection (SSL)”
– Change the Outgoing server (SMTP) port to: 465 and select the “This server requires an encrypted connection (SSL)“
IMAP Settings
– Change the incoming server (IMAP) port to: 993 and select the “This server requires an encrypted connection (SSL)”
– Change the Outgoing server (SMTP) port to: 587 and select the “This server requires an encrypted connection (TLS)“ - Since we are only interested on receiving emails, we do not need to check the “My outgoing server (SMTP) requires authentication”. We only check this option in the “Outgoing Server” tab if we want the account to send emails.
- Verify the connection by clicking on the “Test Account Settings…” button. If incoming passed and outgoing failed, this is okay because we are only retrieving emails from Google Mail and not sending.
- Close the settings window and click on the “Send/Receive” button in Outlook
3. Outlook should now download all the emails from the Google Mail account. If you have noticed, it only downloaded the headers of the mail and not the full email. To download the whole email, you will need to make the following settings change in Outlook.
- Click on the “Send/Receive” option in the “Tools” menu
- Select the “Send/Receive Settings” option and then the “Define Send/Receive Groups“
- Click on the “Edit” button
- Change to the “Download complete items including attachments for subscribed folders” is checked
- Click “Ok” and Exit back to Outlook
- Press “F9” or click on the “Send/Receive” button to start downloading full emails from Google Mail.
That’s it. Now you have converted a Google Mail account to Outlook PST format.
